The 5 P’S That Kill Capacity Challenges Stone Dead...

The common challenge that every customer we've ever worked with is capacity.  

As the directors of CoStratify with our combined 50 years plus experience, we have learnt that every organisation wants more output from their teams, better outcomes for their customers and greater capability to find new opportunities and angles that will give their organisation the edge. Of course  they do ? Why would they not want that?  

But capacity is a symptom not a cause. Adding more people or even capability doesn’t always solve capacity challenges. So, when we hear capacity mentioned as an issue in an organisation, it’s usually because of one the following 5 P’s: 

Prioritisation - Are projects really being prioritised to focus on what your organisation (or even IT) wants to achieve? Lack of clear prioritisation typically leads to a lot of effort being spent on change and ‘business as usual services’, but nothing of value really being achieved. It’s likely the value of technology is patchy at best across the organisation with one area getting an okay service,  but others not getting what they need at all.  

Proactivity - Is there a clear understanding and control of the activities that IT should be doing in order to enable the best possible outcomes from technology? Having clarity on these details will help to accurately plan for capacity and growth within the organisation. This means having a clear understanding of what your organisation does, what’s needed when and what the gaps are to proactively plan capacity to add value to your organisation.  

Price - What’s the price of the activity that IT are being asked to perform? Who is it that is asking for this activity? Is the price of this activity detrimental to the outcomes your organisation is asking of IT? What else could IT be doing in its place to offer more value? Does the budget IT get,  match the expectations that the business wishes IT to achieve with tech? If the answers to any of these questions is “I don’t know” or negative, then it is likely to be a problem that requires a review of your assets and possibly the budget with your Financial Director.  

Performance - Being clear on the functions and services your IT department provides is key. Only then can you measure the performance of those functions and services against what your audience wants and needs. Additionally, this allows you to compare how those functions and services are performing against the best practice set out in your industry? Realigning these functions against best practice industry standards might just make them more efficient and release valuable capacity to focus on what your customers want.  

Perception - The perception of IT is incredibly important as, without the trust of your end users, the commitment to implement change through use of technology or the capability to do so is going to inhibit IT’s capability to be efficient or be of valuable service. Having a workforce that subscribes to the rhetoric of IT and how they can help is critically important but it’s very hard to achieve, but not impossible. This trust point needs to be underpinned by trust, quality in delivery and service accountability.
